Questions about systems work
HubSpot or Zoho CRM: which should we use?
It depends on team size, budget and what else you run. Zoho often suits teams already on Zoho Books or Zoho Mail. HubSpot suits teams that want marketing and sales in one place. We recommend one in writing, with the reasons, before you pay for anything.
Whose accounts do the tools sit in?
Yours. We build inside accounts you own and pay for, with us added as users. You control our access at all times, and nothing depends on an account of ours.
What happens when an automation breaks?
Every workflow we build sends an alert when it fails, and the written map says who owns it and how to fix the common problems. If you want us to watch them for you, that can be part of a monthly retainer.
Is it safe to put customer data through AI tools?
Only if it's set up with care. We use business API access rather than consumer chat apps, keep personal data out of prompts where we can, and write down exactly what goes where so you can check it against your privacy policy.
Do we need a developer on our side?
No. Most of this is built on no-code and low-code tools. You need one person who will own the systems day to day, and we train them and stay on hand for anything bigger.
