"The leads are in a spreadsheet, a WhatsApp group and someone's inbox."

An enquiry comes in from the website form. Another arrives on Instagram DMs, and a third on WhatsApp. Somebody copies two of them into a Google Sheet on Monday. Nobody is sure who called the third one back.

The CRM you signed up for last year has three users and forty half-filled deals. Every Friday someone spends an afternoon pulling numbers from Meta, Shopify and the bank into a report that is out of date by Monday.

None of this needs a bigger team. It needs the tools you already pay for to be connected properly, with one place where the truth lives and a written note of how it all works.

Before: leads lost between toolsAfter: one connected flow

Eight services, one connected system.

Pick one or several. Each plugs into the same CRM and the same numbers, so nothing lives in a tool on its own.

One CRM your team actually opens, with every lead source flowing into it and your old data moved across cleanly.

Who it's for: Teams running sales from spreadsheets, or stuck in a CRM that was set up once and never fitted.

Typical timeline: 2–4 weeksGet a quote

A CRM that stays clean month after month, because someone is responsible for keeping it that way.

Who it's for: Growing teams that have a CRM but no admin, and watch the data decay a little every week.

Typical timeline: ongoing, monthlyGet a quote

Leads that get the right follow-up at the right time, whether it's 2pm on a Tuesday or 2am on a Sunday.

Who it's for: Businesses that generate enquiries but lose many of them in the gap between sign-up and first conversation.

Typical timeline: 3–5 weeksGet a quote

The questions you answer fifty times a day, answered instantly, with a person stepping in when it matters.

Who it's for: D2C brands and service businesses where most customer conversations already happen on WhatsApp.

Typical timeline: 2–4 weeksGet a quote

The copy-paste jobs your team does every day, done by software in the background instead.

Who it's for: Operations and founders who can list five tasks they repeat every week and hate every one of them.

Typical timeline: 1–3 weeks per workflow setGet a quote

AI doing the first draft of the boring work, inside tools your team already uses, with a person approving the output.

Who it's for: Teams that have tried ChatGPT or Claude one prompt at a time and want it built into their actual workflow.

Typical timeline: 2–4 weeksGet a quote

One dashboard that answers "how are we doing?" without anyone building a report on Friday afternoon.

Who it's for: Founders who check four apps every morning and still can't say what last week's cost per order was.

Typical timeline: 2–3 weeksGet a quote

A shared workspace where projects, documents and decisions live in one place instead of in forty chat threads.

Who it's for: Small teams that have outgrown WhatsApp groups and Google Drive folders named "final final v2".

Map the process first. Automate it second.

Automating a messy process just makes the mess faster. We write down how the work really flows before we connect a single tool.

  1. Week 1

    Map

We sit with the people who do the work, list every tool and hand-off, and draw the current process on one page.

  2. Week 2

    Design

We agree the new flow, which tool owns which data, and what should stay manual. You sign it off before we build.

  3. Weeks 2–4

    Build & test

We build in your accounts, never ours, and run real test data through every path, including the failure cases.

  4. Week 4 onwards

    Roll out and improve

A written map of every system and recorded walkthroughs for your team, then we stay on to watch the automations, fix what breaks and add the next workflow as you grow.

Every systems project is quoted to scope.

Questions about systems work

HubSpot or Zoho CRM: which should we use?

It depends on team size, budget and what else you run. Zoho often suits teams already on Zoho Books or Zoho Mail. HubSpot suits teams that want marketing and sales in one place. We recommend one in writing, with the reasons, before you pay for anything.

Whose accounts do the tools sit in?

Yours. We build inside accounts you own and pay for, with us added as users. You control our access at all times, and nothing depends on an account of ours.

What happens when an automation breaks?

Every workflow we build sends an alert when it fails, and the written map says who owns it and how to fix the common problems. If you want us to watch them for you, that can be part of a monthly retainer.

Is it safe to put customer data through AI tools?

Only if it's set up with care. We use business API access rather than consumer chat apps, keep personal data out of prompts where we can, and write down exactly what goes where so you can check it against your privacy policy.

Do we need a developer on our side?

No. Most of this is built on no-code and low-code tools. You need one person who will own the systems day to day, and we train them and stay on hand for anything bigger.

List the five tasks you repeat every week.

Send them to us and we'll tell you which ones can run on their own, and with which tools.
